 Admin Assistant

We are seeking to appoint a full-time office assistant to be based in Harar, help with the organization and running of the daily administrative operations for Hararghe Health Research activities. This is a collaboration between Haramaya University and the London School of Hygiene & Tropical Medicine. The post-holder will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.

Haramaya University is one of the oldest Universities in Ethiopia, with its first intake in 1954. It is about 17km from the city of Harar, 40km from Dire Dawa (where there is a regional airport), and 510km East of Addis Ababa. The College of Health and Medical Sciences is based on a campus in Harar town to facilitate training of students in nearby hospitals. This campus also hosts the office of the two Health and Demographic Surveillance Systems (HDSS).

Child Health and Mortality Prevention Surveillance network (CHAMPS)

The Child Health and Mortality Prevention Surveillance network (CHAMPS, http://champshealth.org/) is a new global health surveillance network funded by the Bill & Melinda Gates Foundation, aimed at understanding the causes of child death in developing countries, particularly sub-Saharan Africa and South Asia. The Emory Global Health Institute, which houses the U.S. office of the International Association of National Public Health Institutes (IANPHI), is the lead partner in the network and has worked with the London School of Hygiene to develop the collaboration with Haramaya University.

Principal Duties and Responsibilities

The post-holder will be expected to: assist in follow up of works in finance and human resource, secretarial and clerk work and work in collaboration with the international and local team.

Key Responsibilities

  1. Organize office and assist associates in ways that optimize procedures
  2. Follow up with finance and Human resource works
  3. Data entry to the database system
  4. Schedule meetings rooms and appointments
  5. Monitor level of supplies and handle shortages
  6. Coordinate with other departments
  7. Sorting and distributing communications in a timely manner
  8. Maintain trusting relationships with suppliers, customers and colleagues
  9. Perform additional tasks given by the line manager

PERSON REQUIREMENT

Essential requirements

  • Minimum of BA in Management, Accounting and related fields
  • Working knowledge of office equipment
  • Thorough understanding of office management procedures
  • Excellent organizational and time management skills
  • Excellent written and verbal communication skills in English
  • Proficiency in MS Office

Desirable requirements

  • Accounting or budget experience
  • Data entry experience in database system
  • Good oral and written communication skill
